The 2009 Annual Meeting will be held January 2–5, 2009 in New York City with events scheduled in the Hilton New York (headquarters) and Sheraton New York (co-headquarters).

Accommodations and Rates
Housing for the AHA Annual Meeting opened September 15.
The AHA has reserved substantial blocks of rooms at the Hilton (1,300 rooms) and the Sheraton (1,300 rooms with the Sheraton Manhattan’s 200 rooms across the street). Rates will be $129 single and double.
The AHA also has a small block of 100 rooms at the Waldorf=Astoria, with rates at $149 single and double.
The Doubletree Guest Suites Times Square has been added to the AHA’s housing block to provide additional suite inventory for individuals or institutions who prefer this type accommodation, particularly those interviewing job candidates during the annual meeting. The hotel is a full-service all-suite property, and all suites set aside in the AHA block have a private bedroom with king bed and a spacious living room. The rate is $199 for single and double occupancy and $30 for each additional person.
All rooms are subject to city and state taxes, currently 13.375 percent plus $3.50 occupancy tax per room, per night. Meeting rates are in effect three days before and after the January 2–5 meeting dates (except for the Doubletree Suites), and are for a limited number of rooms only at each property.
New Hotel Reservation Process for 2009: For the 2009 meeting, the AHA has combined the registration and hotel reservation process. After preregistering for the meeting, attendees will receive an acknowledgment of preregistration that will include information on making a hotel reservation. This confirmation will have links to make a reservation via customized hotel web sites or by calling the hotels directly. Only Annual Meeting attendees who have first completed the meeting registration process will be permitted to make hotel reservations at the AHA’s meeting rates, and hotels will only accept reservations from attendees who supply their meeting preregistration number. This new process is designed to ensure that the deeply discounted AHA meeting rates are reserved for those who support the Annual Meeting—its attendees and exhibitors—and not for tourists and others who want to book a room in New York City for New Year’s Eve weekend.

- $145 members

- $35 precollegiate teachers (evidence of employment is required for this rate)
- $50 middle and high school teacher (grades 8–12) and up to 5 students (rate available preregistration only)
- $100 undergraduate teacher (grades 13–16) and up to 5 students (rate available preregistration only)
Fees for registering at the meeting will be $170 members; $190 nonmembers; $75 student members; $85 student nonmembers; $75 unemployed; and $40 precollegiate teachers (evidence of employment is required for the precollegiate teachers’ rate).

HistoriansTV
The AHA has partnered with WebsEdge of London, England, to produce a daily television program during the 123rd Annual Meeting. Each day of the meeting a new 30-minute news program will be broadcast which will include interviews with key speakers, news from the conference floor, and several 5-minute “thought leadership films” (pre-recorded) that will highlight programs, policies, technologies, best practices, and institutions that advance the goal of historical research, collections, historical scholarship, public history, and education. These feature segments will profile historical research centers, government agencies, libraries and archives, colleges and universities, museums, historical attractions, and institutions from around the country. The daily news will be broadcast each day on a dedicated TV channel in registrant hotel rooms and around the meeting venues. They will also be available on a designated web site after the meeting and on HistoriansTV DVDs to be made available to members after the meeting. Transportation to New York
Discounts Available on Amtrak and Car Rental
The AHA has arranged with Amtrak for a 10 percent discount on the lowest available fare to New York City between December 30, 2008 and January 8, 2009. To book, call Amtrak at 800-872-7245 and refer to Convention Fare Code X72T-942. Please note that this discount cannot be booked via Amtrak’s web site—you must call Amtrak directly and mention the fare code. The offer is not valid on Auto Train and Acela, but is valid with Sleepers, Business Class, or First Class seats with payment of the full applicable accommodation charges. Fares are also valid on Amtrak Regional and Acela service seven days a week, except for holiday blackouts.
Attendees can also rent a car through Avis or Enterprise, with discounted rates effective from December 30, 2008 through January 8, 2009. Contact Avis at 800-331-1600, noting ID number J952801, or Enterprise at 800-593-0505, noting ID number 32H7476.
Association Travel Concepts
Association Travel Concepts (ATC) is the official travel agency for the annual meeting. Ground Transportation
For transportation information for the three airports serving New York City, call Air-Ride (800-247-7433), which offers 24-hour recorded details on bus and shuttle companies and car services registered with the New York and New Jersey Port Authority. Similar information is available at the Authority’s web site; click on the airport at which you will be arriving.
Google Transit
Google maps has recently added a new "Transit" feature. By selecting "by public transit" when searching for directions, Google will direct you to your destination with walking, bus, and metro instructions. Use it for getting around New York.
From LaGuardia Airport (LGA)
LaGuardia is 8 miles from midtown hotels. Ground transportation information is available in the baggage claim/arrival areas of all terminals.

A taxi ride into the city takes anywhere from 30 to 40 minutes and costs a minimum of $30—rides are metered and bridge tolls and tip (15-20 percent is customary) are extra. Up until October 2008 taxis are cash only, but by the time of the 2009 meeting they should be accepting credit cards as well. Riders should hail a cab in the designated areas or ask a uniformed airport employee to assist—it is illegal (and unsafe) to accept a ride from a driver who approaches a passenger.
New York Airport Service ($12 one way and $27 roundtrip) offers bus service from LaGuardia to midtown hotels. The trip takes approximately 45 minutes with busses operating every twenty to thirty minutes, seven days a week.
- The SuperShuttle provides door-to-door service to and from the airport to downtown hotels. The fare is $15 each way.
From John F. Kennedy International Airport (JFK)
Kennedy Airport is 17 miles from the annual meeting hotels. Ground transportation information counters are located on the lower baggage claim level of all terminals. Riders should ignore offers of transportation from solicitors and from non-uniformed persons offering to assist with baggage—it is illegal for them to do so.
Taxi service is available in front of all nine terminals. Taxis from the airport to Manhattan charge a flat rate of $45 (plus tolls and tip) with the trip taking 65 to 75 minutes. The meter will not be turned on and a surcharge will not be added. Note that the flat rate does not apply on trips from Manhattan to the airport.
Bus service on New York Airport Service costs $15 one-way and $33 roundtrip and takes approximately 75 to 85 minutes.
The SuperShuttle provides door-to-door service to and from the airport to downtown hotels. The fare is $19 each way.
From Newark Liberty International Airport (EWR)
Newark Airport is 15 miles from the meeting hotels. Ground transportation information is available in the baggage claim/arrival areas of all terminals.

Taxis to the midtown hotels cost $30 to $38 (toll and tip extra). A dispatcher for New Jersey taxis gives riders a slip of paper with a flat rate ranging depending upon where the rider is going in Manhattan, so riders should be precise about the destination. New York Yellow Cabs aren't permitted to pick up passengers at Newark. The Yellow Cab fare from Manhattan to Newark is the meter amount plus $15 and tolls (about $45-$55, a few dollars more with tip). New Jersey taxis aren't permitted to take passengers from Manhattan to Newark.
Coach USA offers bus service (the Grey Line) for $14 from Newark to the Port Authority Bus Terminal. From this point, attendees can take the subway’s Line E toward Jamaica Center to 7th Avenue and 53rd Street for an additional $2, or take a short taxi ride to the hotel.

Shared ride van service is available through Airlink-NYC for a fee of $15 per person.
From Amtrak:
New York’s Penn Station is located at Eighth Avenue and 31st Street in midtown Manhattan. The station is open 24 hours a day, seven days a week although Amtrak’s ticket office at Penn Station is open daily from 5:10 a.m. to 9:50 p.m.
A taxi ride to the hotels takes from 15 to 20 minutes (depending on traffic) and costs from $10 to $12, plus tip.
Attendees can also take the Uptown E subway direction from Penn Station to the Seventh Avenue stop, right next to the Sheraton. Travel time is approximately 20 minutes and costs $2.
Job Center
Job Center (formerly Job Register) reservation forms will be posted on the AHA web site on October 15 for downloading by institutions that will be interviewing in New York City. Rooms and tables are available on a first-come, first-served basis.
